The Role
We are hiring for an exceptional Operations Coordinator to help build Aslan’s operating backbone. You’ll help a lean team deliver on its commitments and build the processes that support our growth.
You will report to the COO and have a direct line to the CEO. This is a hands-on role with real ownership of the coordination and follow-through that keep projects and company priorities moving.
That might mean getting equipment to a deployment site on time, completing a funding claim, coordinating a new hire’s onboarding, or carrying a special project from an initial idea through to delivery. You’ll work closely with suppliers, contractors, external specialists, and our internal team to gather what’s needed, resolve outstanding items, and keep commitments on track.
At its core, this role is about turning intent into execution. It’s well suited to a resourceful generalist who enjoys responsibility and getting things done efficiently. We’re building our operating playbook as we go, so you’ll work with us to connect the pieces and make each deployment easier to execute than the last.
What You’ll Do
No two days will look the same, and the focus shifts with what is live. During an active build, deployment coordination and logistics takes the largest share of the week. Between builds, the operating systems, partnerships, and growth work carries more of it. You can expect to operate across the following streams:
Deployment, Procurement and Vendor Coordination- Own day-to-day coordination with suppliers and contractors, from sourcing and procurement through logistics and delivery.
- Keep deployment commitments and dependencies on track, resolve issues independently, and bring forward decisions that need leadership input.
- Work with the COO to turn lessons from each deployment into practical processes that make future projects easier to deliver.
- Coordinate reporting and claims for non-dilutive funding programs, gathering inputs, completing submissions, and keeping deadlines on track.
- Find and assess relevant funding opportunities, working with leadership and external grant-writing specialists on those worth pursuing.
- Complete permit forms and assemble submission packages using inputs from our engineering team and advisors. Track requirements, follow up on missing information, and maintain approval records.
- Prepare and coordinate partner materials, meeting briefs, presentations, data requests, and follow-up actions across Aslan’s ecosystem of partners including Conservation Authorities, utilities, municipalities, site owners, academic institutions, and other ecosystem stakeholders.
- Own onboarding and offboarding logistics, including paperwork, equipment, software access, and coordination with payroll and benefits providers.
- Administer employee plans, maintain people records, and coordinate hiring logistics and internship programs.
- Coordinate invoice approvals, expenses, and supporting records with our bookkeeping and accounting providers.
- Keep recurring company obligations, renewals, and required documentation on track.
- Administer our core software and operating platforms, including access, subscriptions, permissions, and account ownership.
- Build practical SOPs, checklists, and workflows around recurring work, and improve them as we learn.
- Recommend tools and use automation, including AI tools, to reduce manual work and improve accuracy.
- Take ownership of selected CEO and COO projects, which may include a marketing campaign, a data partnership, vendor research, or a market-entry initiative.
- Turn a loosely defined priority into a workable plan, coordinate the people involved, and carry it through to completion.
- Minimum three to five years in operations, project coordination, business administration, or a comparable operating role with meaningful responsibility across several workstreams.
- Demonstrated ability to own a project or recurring process from start to finish with limited oversight.
- Strong prioritization skills and the judgment to focus on work that affects delivery, deadlines, and company commitments.
- Clear written and verbal communication, with careful attention to detail in forms, records, and external materials.
- Confidence coordinating with vendors, contractors, and external partners.
- Comfort learning new software, improving workflows, and working through ambiguity in a small, growing company.
- Legal authorization to work in Canada.
- Experience in an early-stage company, hardware business, infrastructure project, or another environment involving physical deployments.
- Exposure to procurement, shipping, grant reporting, permit administration, or people operations.
- Experience using AI and automation tools to improve business processes.
- An interest in clean energy and building a company with meaningful environmental and community impact.
- Salary range: $55,000–$70,000 CAD, commensurate with experience.
