Key Responsibilities

  • Accounts Receivable & Collections
  • Manage full-cycle Accounts Receivable billing and invoicing.
  • Conduct proactive collections and actively pursue outstanding payments to minimize overdue accounts.
  • Resolve billing discrepancies and client inquiries efficiently.
  • Accounts Payable & Cash Management
  • Manage full-cycle Accounts Payable using Pluto to process and pay vendor bills.
  • Match, code, and log invoices accurately via Dext and QuickBooks Online.
  • Administer corporate Float cards, monitor spending limits, and manage fund availability to ensure employee cards are never blocked during travel.
  • Reconciliation & Core Bookkeeping
  • Perform daily bank, credit card, and Float account reconciliations.
  • Maintain clean, organized, and up-to-date ledger entries within QuickBooks Online and Odoo.
  • Process monthly journal entries and adjust balances as required.
  • Data Provision & Reporting Support
  • Extract, compile, and deliver monthly operational datasets directly to the Controller and CFO.
  • Track and report specific metrics as requested, including monthly device sales volumes and headcount updates.
  • Prepare clear background files and reconciliations for the year-end audit trail.

Required Skills & Experience

  • Must-Have:
  • Legally authorized to work in Canada and residing in the Greater Montreal area.
  • Professional fluency in both French and English (oral and written), in compliance with Quebec workplace standards.
  • Direct experience working within a fast-paced startup or growth-stage company environment.
  • High proficiency with QuickBooks Online, Odoo, Dext, Float, and Pluto.
  • Proven track record handling assertive collections and accounts receivable tracking.
  • Ability to work fully onsite at our Saint-Laurent office 5 days a week.
  • Exceptional organizational skills and high attention to precision.

Nice to have

  • Interest or baseline familiarity with Canadian non-dilutive funding models.
  • Appetite to learn SR&ED tax incentive reporting and grant stacking strategies under direct internal training.
