The Opportunity:

This is a great opportunity for someone looking to progress in their public affairs career, who is highly engaged and driven to make a difference in the world. The Grants Manager will work very closely with the Director, Government Relations as a key team member and support. This role will also research, manage, prepare and submit grants proposals and reports for future and current projects. Additionally, the Grants Manager will prepare briefing packages and documentation for Executive Leadership, along with quarterly and annually reporting. This is a very active and growing portfolio, responsible for managing and growing all government relationships federally, provincially (including the territories), and some municipalities, while working closely for Kids Help Phone’s internal teams. This includes working with government stakeholders on both the elected and bureaucratic side. The Grants Manager role will also work across the organization to proactively track, co-ordinate and ensure that all deliverables and reporting requirements are met for our government agreements, and will assist in writing and editing reports, along with future grants. The ability to focus on details, manage several projects, and stay highly organized is a must.

What you’ll do:

Reporting, Financials and Systems Management

  • Plan and execute the grant making and reporting process by working with internal teams along with managing documents and deadlines
  • Document GR activities (meetings, call notices/reports, emails, funding agreements/contracts, accountability reports, submissions) in Raisers Edge and update pipeline activity
  • Works alongside team members to develops budgets for portfolio, projects and operational requirements
  • Help lead grant application process and reporting based on program requirements
  • Develop best practices and systems overview for grant management cycle
  • Partner with cross-functional teams to ensure appropriate tools & data integration across all fundraising portfolios and systems
  • Manage ongoing data reporting requirements for government stakeholders
  • Project manage reporting requirements including cross-functional coordination and engagement to draft reports
  • Draft reports for government stakeholder and external partners

Stakeholder Management & Engagement

  • Support relationship management of government stakeholders (elected and bureaucratic) across Canada (including coordination and drafting of reports and tracking progress to deliverables)
  • Conduct research to support the development of background notes and issue briefs, briefing notes. reports, papers and submissions
  • Support in the securing and coordinating meetings with various government stakeholders across Canada
  • Providing pro-active management of government relation activities
  • Connect and coordinate activities between government and internal subject matter experts and/or executives
  • Keen understanding of provincial & federal government operations and structure, including the civil servant and elected levels
  • Able to track regulations, legislation and policy proposals and analyze their potential impact
  • Draft communications and key messaging on behalf of Executives and the Director of Government Relations
  • Support in the growth of government funding and relationships
  • Coordinate government relation activities regarding Kids Help Phone events (national and community based events)
  • Support response to RFP development process from identification through to submission and follow-up

Planning

  • Plan and execute grant strategy, timelines and deliverables
  • Conduct political scans and monitor important government relations activities such as legislation and policy changes, published reports, mental health strategies, funding opportunities, elections and funding announcements and provide these updates to the stakeholders across Kids Help Phone including the office of the CEO
  • Support the development and assist in the execution of a GR workplan based in strategy of the particular priorities and needs of governments across Canada
  • Partner with other departments such as Donor Relations and Communications team to deliver on an integrated government relations strategy
  • Provide general administrative and logistical support to senior leadership (calendar and meeting management, document preparation, research, creating speaking points and briefing materials for internal and external use)

What You’ll Need:

  • At least two to five years working in grant/proposal writing and drafting materials such as government submissions.
  • Experience in government reporting (i.e., contracts, fiscal or program agreements)
  • Bilingualism (English and French) is an asset, but not required
  • Bachelor’s degree in business, management, accounting, finance, political science or in a relevant subject field
  • Strong computer literacy, including effective working skills of Microsoft Teams, Word, Excel, PowerPoint and Outlook
  • Able to deal with people sensitively, tactfully, diplomatically and professionally at all times

  • A strong writer, with proven ability to research, gather and analyse information
