The Opportunity:
Reporting to the Director, Annual Giving & Advancement Operations, the Senior Development Officer, Advancement Operations (SDO), will support our fundraising efforts by managing donor data, building reports, and enhancing data workflows. This role includes integrating Raiser’s Edge (RE) NXT data with platforms like Mailchimp to streamline operations and improve campaign performance. The SDO will collaborate across teams to support the fulfillment of data requests, ensure data accuracy, and contribute to process improvements to optimize efficiency. The SDO will lead a team of 2 direct reports, and will design, execute and oversee projects and ongoing functions to enable fundraising teams to achieve the ambitious goals of the Feel Out Loud Campaign.
What You’ll Do:
Data Integration & Platform Management
- Facilitate and maintain integration of RE NXT with other platforms like Mailchimp and Raisin to support consistent donor engagement and seamless campaign execution.
- Administer and manage systems integrations (e.g., RE NXT, Raisin, Mailchimp), including setting up user accounts, managing security settings, and troubleshooting.
- Implement and oversee new platform integrations as needed, ensuring data accuracy and system integrity.
- Oversee data extraction and preparation for communications, solicitations, and event invitations across departments.
Team Leadership & Training
- Manage and develop two direct reports (Development Officer, Analytics & Database Management, and Specialist, Data Entry), providing coaching, mentorship, and conducting performance assessments.
- Recruit, train, and onboard new team members as required to meet departmental goals.
- Design and deliver training on RE NXT, Raisin, and Mailchimp, creating user-specific training materials based on roles and functions within the organization.
Reporting & Data Analysis
- Utilize tools like Power BI, RE NXT, and Excel to produce standard and custom reports that support departmental needs.
- Generate actionable insights through routine and ad-hoc reporting to inform strategic decisions and operational efficiency.
- In collaboration with Director, develop and maintain performance dashboards in Power BI, RE NXT, or similar platforms to guide strategy and track campaign progress
Data Governance & Compliance
- In collaboration with Director, ensure compliance of constituent records and documentation with donor restrictions, internal policies, and privacy/data protection legislation.
- Support audits by preparing and providing validated data, reports, and records as needed.
- Monitor and enforce KHP’s privacy policy in the collection and management of constituent and gift data.
Process Optimization & Strategic Support
- Support the optimization of data workflows in RE NXT and integration processes, leveraging MS 365 tools to improve efficiency.
- In collaboration with Director, develop and document policies and procedures for data management and gift processing, adhering to best practices and evolving stakeholder needs.
- Maintain coding systems for Advancement’s financial processing, moves management, stewardship, and event tracking to meet organizational needs.
- Provide ad-hoc support for donor reporting, financial reconciliation, and other data-related tasks as required.
Cross-Departmental Data Support:
- Triage and action inbound stakeholder requests, prioritizing and assigning tasks to manage overflow and support the team effectively. During peak periods, personally handle requests as needed to ensure timely and accurate responses.
- Oversee an inbound request system to prioritize and efficiently fulfill data-related requests.
- Support Finance and Donor Services to ensure accurate and compliant gift records and donation receipts across all fundraising platforms.
- Assisting the external Audit with various data requests and reports.
What You’ll Need:
- 5 – 7 years of progressive experience in database administration with a focus on the fundraising or not-for-profit sector.
- Expert knowledge of Raiser’s Edge and RENXT systems and Strong SQL skills are essential for querying and managing data in Raiser’s Edge and RENXT, as well as in other database environments.
- Knowledge in structuring, managing, and storing large datasets in a way that enables easy access
- Familiarity with scripting languages like Python or R and skills in ETL processes or using tools that facilitate data integration considered an asset
- Extensive experience in building reports and dashboards in systems like Power BI and RE NXT to support data-driven decision-making.
- Bachelor’s degree in Data Management, Library Science, Computer Science, or a related field.
- Minimum 2 years of people management experience with demonstrated leadership skills.
- Proficiency in utilizing MS 365 to implement workflow improvements and optimize processes.
- Proven ability to collaborate effectively with fundraising and operational teams to achieve organizational goals.
- Detail-oriented with high standards for accuracy and efficiency in data management.
- An inquisitive nature and a strong desire to learn, innovate, and enhance fundraising success at Kids Help Phone.
