Job Description:

Job Responsibilities:

Office & General Administration

  • Oversee daily office administration to ensure efficient and smooth operations.
  • Coordinate domestic and international travel arrangements in accordance with Bank policies.
  • Schedule and coordinate meetings, client visits, and presentations with internal and external stakeholders.
  • Handle confidential administrative tasks with accuracy, discretion, and timely follow-up.
  • Process expense claims and reconciliations in line with internal policies.
  • Review invoices for office services and supplies, manage costs, and authorize payments where applicable.
  • Manage third-party vendor contracts, including real estate–related agreements, in compliance with corporate governance standards.
  • Provide administrative support for internal projects and initiatives across business lines.
  • Maintain effective communication and strong working relationships across teams.

Business Administration Support – Global Transaction Banking (GTB)

  • Support communications with Japanese Financial Institutions, Pension Funds, Non-Bank FIs, and related clients on payment-related enquiries (primarily CAD and USD accounts).
  • Assist with daily client communications on remittance and payment-related matters involving Japanese clients.
  • Prepare, manage, and distribute Account Analysis Statements (AAS) and Interest Statements to Japanese clients.
  • Conduct monthly internal updates and reviews of AAS statements.
  • Provide Japanese-language support for assigned client communications.
  • Coordinate between the TD Singapore office and onshore clients in Japan to facilitate resolution of operational or administrative matters.
  • Support onshore administrative activities in Tokyo, including:
    • Maintaining and updating client contact information.
    • Following up on KYC-related documentation and requests.
    • Communicating TD-related updates to Japanese clients.
    • Managing internal call report uploads and records.

Job Requirements:

  • Experienced in office administration, business support, or a similar role.
  • Ability to communicate effectively in both Japanese and English with both local and regional colleagues
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently in a fast-paced, deadline-driven environment.
  • Highly organized, detail-oriented, and reliable.
  • Experience supporting an international or multinational organization is strongly preferred.
  • No prior banking or financial services experience required.
