Position Summary:

We are seeking an experienced, highly organized, and detail-oriented Event Manager & Coordinator to lead the planning and execution of a large portfolio of over 50 complex events globally each year. This role demands a proactive, resourceful professional who can seamlessly manage every aspect of event logistics and operations, ensuring flawless execution and maximizing event ROI.

Key Responsibilities:

    • Reporting & Analysis:
      Compile post-event reports covering budget adherence, vendor performance, attendee data, and key insights to optimize future events.
    • End-to-End Event Management:
      Manage the full lifecycle of 50+ events with overlapping schedules annually, including international trade shows, conferences, exhibitions, and custom customer events, across multiple markets and verticals. Oversee all logistics from booth space reservation and contracts to execution, often managing simultaneous events.
    • Travel and Logistics Coordination:
      Manage all travel arrangements for team members including booking flights, hotels, ground transportation, and managing itineraries.
    • Vendor & Supplier Management:
      Source, negotiate, and manage relationships with multiple vendors including booth builders, decorators, printers, freight/shipping companies, and hospitality providers.
    • Budgeting & Financial Oversight:
      Develop, monitor, and control event budgets; manage payment authorizations, vendor invoices, and ensure cost-efficiency across all events.
    • Team Organization & Playbooks:
      Coordinate cross-functional teams involved in events, develop detailed event playbooks and run sheets to ensure smooth onsite execution.
    • Booth & Asset Management:
      Oversee booth design, vendor selection for booth construction and setup/tear down; manage printing and shipping, and inventory of marketing assets, custom collateral, and giveaways.
    • Lead management:
      Prepare and validate exhibitor lists for accurate targeting. Set up and test lead capture forms for booth staff. Ensure timely lead submission and collaborate with Sales and RevOps on routing, follow-up, and reporting.
    • Registration & Lead Capture:
      Ensure event registration processes are seamless; coordinate and verify the functionality of lead capture forms and systems before and during events.
    • Custom Asset Coordination:
      Work closely with design and marketing teams to manage the creation, approval, and delivery of custom assets tailored for specific customers or events.

    Qualifications:

    • Proven experience managing a high volume of complex events, preferably 50+ annually, including international locations.
    • Strong project management and organizational skills with exceptional attention to detail.
    • Experience negotiating and managing vendors and suppliers in a fast-paced environment.
    • Budget management expertise with financial acumen.
    • Ability to manage multiple stakeholders and cross-functional teams effectively.
    • Proficiency with event management software, CRM, registration platforms, and Google Workspace.
    • Comfortable with frequent international travel, working across multiple time zones and hands-on onsite event setup/tear down.
    • Excellent communication and interpersonal skills.
    • Ability to problem-solve on the fly and handle unexpected challenges calmly and efficiently.
