About the role
As a Senior Executive Recruiting Coordinator, you will be responsible for managing the operational excellence of our executive searches, ensuring a seamless experience for candidates, interviewers, and hiring leaders. You’ll oversee scheduling for highly complex interview loops, manage confidential requisitions, facilitate candidate greets, and schedule internal meetings with executive stakeholders.
This role requires impeccable attention to detail, strong communication skills, and the ability to navigate ambiguity in a fast-paced environment. You will act as the connective tissue across recruiters, sourcers, executive assistants, and business leaders, ensuring every step of the process is smooth, professional, and aligned with Zillow’s high standards.
You will get to:
Lead the coordination of requisition-based executive searches, from kickoff through onboarding, including scheduling hiring manager screens, loops, and alignment meetings
Manage confidential requisitions with discretion, ensuring sensitive information is handled appropriately in calendar holds, invites, and communications
Build strong partnerships with recruiters, sourcers, and executive assistants, serving as the primary point of contact for scheduling logistics and process alignment
Provide white-glove candidate experiences, including virtual greets, thoughtful communications, and personalized touches such as offer gifts
Maintain and update key recruiting resources such as candidate pipelines, pre-brief documents, Slack channels, and executive availability trackers
Schedule and facilitate Talent Scouting initiatives, including kickoff meetings, executive syncs, and ongoing candidate conversations that build Zillow’s future leadership pipeline
Track and manage NDA distribution, signatures, and compliance for all executive-level candidates
Anticipate roadblocks and proactively communicate updates or scheduling challenges to recruiters, hiring leaders, and executive assistants
Support the onboarding process by coordinating with executive assistants and ensuring a smooth transition for new hires
Who you are
Exceptionally organized and detail-oriented, with the ability to juggle multiple high-priority searches at once
Skilled at managing complex calendars and executive scheduling logistics, with a strong understanding of the nuances of working with executive assistants
Adept at maintaining confidentiality and exercising discretion when working on sensitive searches
A strong communicator, able to build trust and credibility across recruiters, sourcers, executive assistants, and senior leaders
Comfortable operating in fast-paced, ambiguous situations while maintaining a calm and professional demeanor
Naturally collaborative, thriving in a team environment where success depends on clear communication and partnership
Proactive and resourceful, able to anticipate needs, identify risks, and act quickly to resolve challenges
Qualifications:
4+ years of experience in recruiting coordination, executive support, or a related role, preferably in an executive search or high-growth technology environment
Proven success managing complex scheduling with senior executives and their assistants
Experience handling confidential information with discretion and professionalism
Strong proficiency with scheduling tools, calendar management, and recruiting platforms (Workday or equivalent)
Excellent written and verbal communication skills
Ability to work both independently and collaboratively in a fast-paced environment
Passion for creating an exceptional candidate and client experience
