About the role

This role reports directly to the SVP, Innovation Hubs and provides a broad range of strategic and operational support while also acting as the representative of the SVP on a number of matters as needed. This role provides support on a wide range of research, analysis, specialized projects and initiatives of sensitive or confidential nature.

This role is an individual contributor, but may oversee team or administrative support roles where required.

Key Responsibilities

Strategic Support:

  • Conduct research and or analysis, prepare and organize communication efforts - presentations, market trend reports, board related materials and reporting for the MIH group.
  • Ensure the SVP is briefed and prepared in advance of meetings and presentations. Where needed, agendas and invitees created, pre-read materials prepared and distributed and minutes completed.
  • Provide the SVP with an overview of key management information, discussions and / or business issues in advance of business meetings and events, and coordinate follow-up on outstanding issues as required.
  • Provide expertise, support the planning and the decision making process for a broad range of activities, coordinating with internal stakeholders on behalf of the SVP.
  • Develop strong working relationships with internal stakeholders, tenants, and partners across the MaRS ecosystem.

Team Support:

  • Work closely with the SVP to support internal Hubs cross-functional delivery activities.
  • Organize and participate in leadership team meetings. Provide support in the planning of team meetings including identifying agenda items, key messages and preparing presentations/materials.
  • Support development and measurement of performance management processes/metrics.
  • Manage communication requirements for internal MaRS communications - such as employee newsletter, All-Staff meetings, etc.
  • Partner with Hubs leadership team to streamline business processes to improve team collaboration and create efficiencies.

Hubs Business Support:

  • Lead site visits and venue tours for existing and prospective tenants, clients, stakeholders and partners.
  • Act as representative for SVP’s clients and guests, both virtually and onsite. Partner with internal Hubs teams to ensure required services are provided.

Qualifications:

  • Post-secondary degree, diploma or certificate.
  • 5+ years experience in a business administration or operations role.
  • Experience as an Executive Assistant or similar role, preferably in the real estate industry.
  • Experience working directly with C-Suite/SVPs, an asset
  • Previous high-level experience supporting a senior leader and working cross-functionally.
  • Hands-on, practical experience with project management, staff management, communications, contracting, budgets, data analysis.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills
  • A high level of organizational maturity and result orientation
  • Knowledge of real estate and property management terminology and processes
  • Awareness and ability to handle highly sensitive information with confidentiality and discretion.
  • Proven ability to deal with multiple stakeholders (internal or external).
  • Advanced skills in Microsoft Office Suite.

Salary Range: $80,000 - $90,000, up to 10% discretionary incentive, benefits and paid time-off.
