Position Summary
The Ontario Institute for Cancer Research (OICR) is seeking a a professional and reliable Receptionist to support the day-to-day operations of Reception. Strong interpersonal, organizational and customer service skills are essential for success in this role.
Position Responsibilities
- Provide daily Reception coverage and maintain a professional, welcoming front desk environment.
- Greet and assist visitors, ensuring sign-in/out procedures and security protocols are followed.
- Answer and direct incoming calls, emails, and general inquiries in a courteous and timely manner.
- Aid visitors and staff with general enquiries (e.g., Wi-Fi, washrooms, office layout, supplies).
- Oversee the inventory of general office supplies, including paper, printer toners, kitchen supplies, and other accessories; submit orders as needed.
- Maintain and organize all shared common spaces, including kitchens, boardrooms, and copy stations, ensuring cleanliness and functionality.
- Process all incoming and outgoing mail, courier packages, and deliveries; oversee drop-offs and notify applicable departments.
- Manage the visitor sign-in/out system and facilitate Facility Access Card processes for staff and contractors.
- Oversee the budget, inventory, and distribution of coffee and kitchen supplies.
- Conduct USB security scanning for external devices in accordance with IT policies.
- Code corporate invoices for processing and forward documentation to the Finance department.
- Liaise with building management and vendors for maintenance, cleaning, and service requests.
- Support meeting logistics, including catering, AV setup, and room booking as required.
- Maintain office contact lists, seating charts, and shared administrative documentation.
- Support office health and safety initiatives (e.g., first aid kits, emergency procedures).
- Assist with onboarding and offboarding processes for administrative staff.
- Attend monthly Administrative Council meetings.
- Provide administrative support to the Executive Office Manager and other team members as required.
Qualifications
- Completion of high school plus additional post-secondary education or recognized equivalent.
- Demonstrates exemplary customer service skills and good judgment.
- Excellent organizational and problem-solving skills; quality and detail oriented.
- Excellent verbal and written communication skills.
- Strong internal and external relationship management skills, ability to interact and work professionally and effectively with staff and vendors.
- Ability to work well under pressure, prioritize and multi-task within a fast-paced environment.
- Self-motivation and initiative.
- Adaptability, flexibility, diplomacy and tact.
- Advanced proficiency in computer software, e.g., MS Word and Outlook, Excel.
- Familiar with computer peripherals such as printers, mice, keyboards.
- Familiar with using web browser-based applications for data entry.
