Job description

Responsibilities

  • Prepare creative proposals outlining deliverables, timelines, and accurate pricing.

  • Review incoming requests, identify missing details, and collaborate with Client Service teams to gather required information.

  • Coordinate with external vendors to obtain pricing for creative, print, and premium production needs.

  • Deliver quotes on time and ensure all pricing is complete, accurate, and properly documented.

  • Maintain a clear log of active proposals, tracking statuses, deadlines, and follow‑ups.

  • Support SOWs and contracts by confirming scope, deliverables, timelines, payment terms, and production requirements.

  • Identify and escalate any quick‑turn or late requests that could impact timelines or broader departmental work.

  • Support vendor coordination, file delivery logistics, internal QC needs, and assist Creative Leadership with operational improvements and special projects.

  • Work within Shaker’s proposal software to ensure saved languages, deliverables and pricing are current and well documented

  • Juggle requests and project priorities simultaneously

  • Liaise with necessary creative team members to gather essential information for accurate proposals

Qualifications

Requirements

  • 1–3 years of experience in creative operations, production coordination, account support, or related roles.

  • Excellent communication skills with strong organization, accuracy, and attention to detail.

  • Proficiency in MS Office Suite (Word, PowerPoint, Teams) and Excel.

  • Ability to manage multiple proposals, deadlines, and client requests concurrently.

  • Comfortable working in fast‑paced, high‑volume, deadline‑driven environments.

  • Strong work ethic with reliable prioritization, follow‑through, and detail orientation.

  • Experience collaborating with creative teams, vendors, or production partners (preferred).

  • Willingness to reach out for clarification or push back when needs are unclear.

  • Team‑first mindset focused on collective success over individual credit.
