JOB SUMMARY
As the Coordinator, Marketing & Communications, you’ll support the Rick Hansen Foundation (RHF) Marketing & Communications (Marcomm) team by coordinating and producing audience-focused communications that strengthens brand awareness and advances RHF’s mission. You’ll work across digital and print channels, supporting day-to-day project delivery—from email marketing and content coordination to basic design/video support and administrative coordination. With strong attention to detail, you’ll apply brand standards and accessibility best practices to deliver high-quality work on schedule.
WORKING RELATIONSHIPS
You’ll report to the Manager, Marketing & Communications, and collaborate closely with the full Marcomm team to coordinate and deliver communications projects. You’ll also partner with colleagues across RHF to support cross-functional priorities and initiatives.

KEY ACCOUNTABILITIES
Project Management
- Prepare workback schedules and support on-time project delivery.
- Gather project estimates and associated approvals.
- Track and communicate project status, coordinate feedback cycles and approvals.
- Partner with program teams as the Marcomm liaison to coordinate communications; attend meetings and keep the Manager informed.
Email Marketing
- Execute email marketing in Pardot email marketing system — build and design impactful and accessible emails and engagement journeys for key audiences, coordinate content, approvals, contact lists and suppressions and timelines.
- Create and share monthly email performance reports with Marcomm and program teams.
- Apply and recommend email marketing best practices.
- Maintain the RHF staff email distribution list.
- Lead production of the RHF internal newsletter (InMotion).
Graphic Design & Video Production
- Lead video production projects (workbacks, talent and releases, videographer booking, edits, and accessibility services); complete in-house edits within your skillset; share progress updates; and attend onsite filming as required.
- Design social media imagery and website assets in collaboration with the Sr. Digital Marketing Specialist.
- Proofread materials and provide backup graphic design support as needed.
- Ensure all communications developed align with brand guidelines and is accessible.
Administration and Coordination
- Help to develop and keep track of Marcom Contracts and PO’s. Manage the Marcomm budget control report. Upload invoices into RHF’s Business Central financial system.
- Maintain and update the annual Marcomm content calendar.
- Maintain the external vendor partner list and positive vendor relationships.
- Create team meeting agendas and minutes.
- Maintain and update SharePoint files and folder structures (including version control).
- Manage RHF business card and name tag orders.
- Participate in team meetings and brainstorms.
- Support other related duties aligned with the purpose and accountabilities of the role.
QUALIFICATIONS
An equivalent combination of education, experience and skills/behaviours will be considered.
Education: Post-secondary diploma or university degree in marketing, communications, or a related field is an asset.
Experience/Knowledge:
- Minimum 2 years of related experience in marketing, communications, or a similar coordination role.
- Graphic design experience.
- Video editing experience.
- Strong computer proficiency, including Word, Excel, PowerPoint, Microsoft Outlook, CoPilot and SharePoint.
- Experience with a Customer Relationship Management (CRM) system such as Salesforce, an email marketing system such as Pardot.
- Knowledge of accessible communications and inclusive content best practices is an asset.
- Awareness of, and sensitivity to, disability-related issues is an asset.
