Purpose of the role
As Finance Manager, you will serve as the primary internal owner of TerraFixing’s financial operations, bringing structure, rigor, and visibility to the company’s financial systems as we scale. You will lead the day-to-day finance function (e.g., AP/AR, bookkeeping), financial reporting, grant-finance support, budgeting, forecasting, cash flow management, and financial modeling. This role is ideal for someone who is highly hands-on, strong in accounting operations and financial analysis, and excited to build systems, improve workflows, and create decision-useful financial insight in a fast-moving startup environment.

TerraFixing has demonstrated a small-scale novel gas separation & purification process and system for direct air capture of carbon dioxide using novel adsorbent materials. We are now scaling up the technology and preparing for a demonstration project. Your work will include supporting the financial systems, controls, and reporting required for both early-stage concept work and the execution of larger commercial projects. We face interesting challenges due to novel designs, complex grant requirements, evolving processes, and a growing business. This role is ideal for someone who thrives on solving practical business problems, building scalable systems, and helping leadership make informed decisions in a groundbreaking field. Overcoming these challenges will require someone who is comfortable tackling open ended problems, who loves to learn, and who challenges the status-quo.
Key Responsibilities
  • Own TerraFixing’s day-to-day financial operations and serve as the primary internal owner of finance processes across the business.
  • Manage accounts receivable and accounts payable, ensuring invoicing, collections, payments, and related documentation are accurate and timely.
  • Ensure accurate, complete, and audit-ready bookkeeping in QuickBooks, including transaction coding, grant allocation, tax treatment, reconciliations, and supporting documentation.
  • Prepare and maintain accurate monthly, quarterly, and annual financial reporting for management, board governance, grant reporting, and compliance purposes.
  • Build, maintain, and continuously improve TerraFixing’s financial models, forecasts, budgets, and cash flow tools to support planning, resource allocation, and strategic decision-making.
  • Use financial analysis and scenario modeling to assess business performance, project economics, customer opportunities, grant-funded work, and company-level financial risk.
  • Track and analyze key financial KPIs and provide actionable insights and recommendations to leadership.
  • Support grant-finance operations by ensuring eligible expenditures are tracked correctly, documentation is audit-ready, reimbursement claims are supported, and grant funding rules are respected.
  • Develop, document, and improve finance systems, workflows, controls, and automations to increase accuracy, reduce manual work, strengthen audit readiness, and improve scalability over time.
  • Evaluate and implement tools, systems, and process improvements that reduce reliance on third-party financial services over time.
  • Manage external finance partners, including bookkeepers, payroll providers, tax advisors, and other service providers, and hold them accountable for quality and timelines.
  • Serve as the primary point of contact for internal and external audits, coordinating documentation, responses, and compliance activities.
Preferred Experience & Qualifications
  • Degree in Accounting, Finance, Commerce, Business Administration, or a related field.
  • 6+ years experience in finance and accounting roles
  • 2-3 years experience in start-ups, small or growing company environments.
  • Experience owning accounts payable and receivable, bookkeeping quality, month-end close, reconciliations, and financial reporting.
  • Strong Excel and/or Google Sheets skills, with demonstrated ability to build and maintain budgets, forecasts, cash flow tools, and financial models.
  • Fluency with AI, coding, or automation tools to improve workflows, reduce manual work, and build scalable finance systems.
  • Experience managing outsourced bookkeepers, payroll providers, tax advisors, or other external finance partners.
  • 5+ years experience with QuickBooks and quickbooks integrations / automations
  • Comfortable working directly with founders in a high-ownership startup environment where systems are still being built.
  • Strong judgment, attention to detail, communication skills, and a bias toward action, accountability, and continuous improvement.
  • (preferred) familiarity with Canadian payroll, HST/GST, statutory remittances, and audit-ready recordkeeping practices.
  • (preferred) Experience supporting grant-funded, project-based, manufacturing, hardware, cleantech, or similarly documentation-heavy operations
