The Medical Staff Association (MSA) represents the individual and collective interests of the medical, dental and scientific staff at SickKids. The Administrative Coordinator provides coordination and administrative support for the MSA Executive members in a manner that enables the Executive to manage the MSA efficiently and effectively. The Administrative Coordinator organizes and attends MSA meetings, drafts reports, serves as the primary point person for internal and external communication and coordinates events organized by the MSA. The Coordinator works in close collaboration with MSA Executive members.

Here's What You'll Get To Do

Administrative:

  • Managing MSA Office
  • Developing and maintaining files and filing systems to ensure complete and accurate storage of MSA information.
  • Coordination of MSA meetings with preparation of agendas and drafting of reports
  • Coordination of MSA Executive elections every 2 years

Financial:

  • Managing MSA finances in collaboration with MSA Secretary-Treasurer.
  • Financial reporting - preparing monthly financial overviews and reports
  • Submitting expense reports
  • Coordinating charitable donations

Communications:

  • Drafting correspondence for MSA Executive
  • Drafting all agendas & minutes for MSA meetings
  • Creating presentations for Executive members for MSA General Meetings
  • Creating and posting announcements for all MSA events & activities
  • Drafting membership surveys on behalf of MSA Executive
  • Drafting MSA communications and publications
  • Managing content on MSA website

Event Coordination:

  • Coordinating all aspects of MSA Meetings and events

Member Liaison:

  • Serves as 1st point of contact for MSA members.
  • Reaches out to new members on behalf of MSA Executive

Here's What You'll Need

  • Post-secondary degree or an equivalent combination of education & experience in a related field
  • Demonstrated experience coordinating administrative processes in a related field
  • Excellent interpersonal and communication skills as well as a high level of judgment, tact and diplomacy in interactions with a wide variety of senior level individuals
  • Ability to handle multiple tasks and changing priorities while maintaining a high degree of accuracy
  • Advanced working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Teams and SharePoint programs
  • Creativity, self-motivation, innovation and ability to demonstrate a high level of initiative
  • Superior problem-solving skills and demonstrated ability to prioritize workload and confidently manage deadlines in a fast-paced environment with many interruptions and multiple competing priorities
  • Critical thinking and analytical skills with the ability to exercise discretion and confidentiality
  • Exceptional organizational skills and ability to manage activities both for yourself and for others effectively
