Are you an organized and focused problem-solver who wants to be a part of the administrative backbone of a world-class scientific research institution?

We are looking for a research Administrative Assistant to join the Molecular Medicine Program at the SickKids Research Institute and provide high level support to research scientists and their team members. This will be someone who is responsible, organized, independent, and has excellent time management skills. In this position, you will be able to showcase your skills in office administration and communication. We also welcome applicants who emerge from a background of science.

The Job Involves:

  • Assisting with HR functions such as job postings, hiring and payroll processes and change requests.
  • Monitoring and analyzing Scientist's grant funding.
  • Acting as a liaison between the Scientist and the Grant Accountant for all financial matters.
  • Assisting scientists with preparation and submission of scientific documents and publications.
  • Providing support and itineraries for Scientist's for meetings, conferences and travel.
  • Monthly reconciliation of financial reports and credit card statements.
  • Completion of necessary Accounts Payable forms for travel, hospitality and general invoicing
  • Maintaining Canadian Common CV.
  • Coordinating meetings, workshops and lectures.
  • Calendar management using Outlook
  • Website management
  • Overseeing orders for research supplies/materials.
  • Assisting with Molecular Medicine Program activities, as assigned by the Program Manager.

Here's What You'll Need:

  • Completion of post-secondary degree/diploma. BSc degrees are considered an asset.
  • Several years of administrative experience.
  • Excellent interpersonal, oral, and written skills.
  • Strong understanding of basic financial accounting.
  • Knowledge and proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint; expertise in Adobe Professional Creative suite and Photoshop considered an asset).
  • Experience in scientific research/university-based environments and familiarity with grant processes considered a strong asset.
  • Demonstrated ability to handle multiple tasks and prioritize work in an efficient and organized manner.
  • Ability to work both independently and as a team member.
