Position Description
The Toronto Region Board of Trade (the Board) is seeking an ambitious and enthusiastic Events Coordinator who can operate at a fast pace to provide support and take the lead on various projects. Reporting to the Director, Events, the Events Coordinator will plan, implement, and execute on a variety of forums, summits, podium, and marquee events. With more than 100 events per year, more than 11,000 members, more than 50 sponsors and a highly active sales team, the Toronto Region Board of Trade’s Events team is highly engaged!
This role works closely with the Commercial Unit (Membership and Partner Success), Policy, Communications, and World Trade Centre – Toronto teams to champion exceptional member experiences and invite new audiences to the Board.
Role Description
- Daily management of TRBOT’s event registration system including but not limited to creating and maintaining event registration pages, support TRBOT members in troubleshooting, and provide support to cross-functional internal teams where required.
- Responsible for the management of TRBOT’s general inquiries inbox including responding to incoming event inquiries, deploying all-staff event invitations.
- Independently lead the planning and execution of assigned events, including budget management, vendor coordination, timelines and event logistics.
- Support the Sr. Managers in the coordination and project management of internal departments such as Communications, Policy, Membership and Partner Success, and outside partners/vendors to create the successful planning and delivery of events
- Recommends programming and member engagement ideas to the event team and Sr. Director, Events to improve event planning, member engagement and execution of all events
- With a lens to review existing and outside events – look at ways to increase and enhance events to capture the most out of the programming, engagement, signage, activations etc. and find operable solutions with budget to see how we can magnify and create uniqueness around our events
- Work with the Events team on assigned tasks and provide support for the planning and execution of TRBOT events as required
- Collaborate with external partners and vendors to support the planning, coordination and execution of events.
- Responsible for taking the “lead” on other assigned projects by the Sr. Director, Events
Your experience includes
- 6 months - 2 years’ experience in an events environment with exposure to a variety of stages of project management, planning and executing events
- Post Secondary Education or Event Management/hospitality program
- Strategic outlook in working with the team to create a unique and superior product for sponsors, members and non-members
- Experience in catering/banquet and/or food and beverage industry
- *SOME* Operational knowledge of room layouts and seating plans, banquet details a requirement
- Strong speaking and written communication skills, customer service and conflict resolution skills
- Exhibit flexibility when faced with changing priorities and deadlines. Positive attitude.
- Provides outstanding service and a tactful approach when faced with onsite modifications (e.g., missing registration/ticket orders, equipment failure)
- Project Management skills and detailed planning required
- Some working knowledge of Event Registration platforms considered an asset
- Customer Service – Understanding the importance of professional engagement with TRBOT’s Members and event guests.

Compensation & Benefits
TRBOT is committed to fair, equitable pay that matches the responsibility and expertise behind every role.
This role has an annual salary range of $55,000 to $80,000.
