Position Summary
As a highly valued Administrative Assistant at Trulioo, you’ll play a key role in supporting our C-Suite, ensuring operational excellence and efficiency across day-to-day activities. Reporting to the Senior HR Business Partner within the People & Culture team, you’ll be the organizational backbone that keeps executive operations running smoothly—handling scheduling, logistics, communications, and event coordination with professionalism and discretion.

This is a full-time hybrid position based out of our Mount Pleasant office in Vancouver with three in-office days per week.
What you'll be doing:
Executive & Calendar Management
- Manage complex calendars for executive team members, ensuring meetings are prioritized and scheduled effectively.
- Coordinate meeting logistics across time zones, proactively anticipating and resolving conflicts.
- Prepare meeting materials, agendas, and pre-read documents to ensure executives are always set up for success.
Meeting & Event Coordination
- Support the planning and execution of Off-Sites, Quarterly Business Reviews (QBRs), All Hands, and other company-wide meetings.
- Manage meeting logistics, including presentation setup, catering orders, and technology needs.
- Coordinate after-hours events such as executive dinners, off-sites, and leadership gatherings.
Travel & Expense Management
- Arrange domestic and international travel for executives, including flights, accommodations, and ground transportation.
- Prepare and reconcile expense reports, ensuring accuracy and timeliness.
- Be available if travel needs don’t go as planned and require rebooking or last-minute adjustments.
- Maintain awareness of travel preferences and anticipate logistical needs.
Operational & Administrative Support
- Act as a key liaison between executives and internal stakeholders, representing the P&C team with professionalism and discretion.
- Collaborate with People & Culture, Facilities, and IT to coordinate administrative and operational tasks.
- Assist in creating and maintaining documentation, templates, and processes to streamline administrative operations.
Nice-to-Have / Growth Opportunities
- Support executive workload management, including task tracking and alignment on priorities.
- Partner with P&C on onboarding, culture initiatives, and special projects.
- Contribute to process improvements that enhance executive team efficiency.
You have:
- Experience: 3+ years of administrative or executive assistant experience, ideally supporting C-Suite leaders in a fast-paced environment.
- Professionalism: Exceptional discretion and integrity in handling confidential information.
- Organization: Outstanding time management and multitasking skills with strong attention to detail.
- Tech-Savviness: High proficiency with Google Workspace, Zoom, and corporate travel/expense tools.
- Adaptability: A proactive, resourceful, and solutions-oriented mindset.
- Collaboration: Strong interpersonal skills and a positive, team-first attitude.
