Department: Movement Disorders Clinic
Work Model: Hybrid (On-Site 1 day/week)
Reports to: Scientific Director, Deep Brain Stimulation (DBS) Program
Hours: 18.75 hours per week
Status: Temporary Part Time
Closing Date: October 3, 2025
Position Summary
As a member of the Movement Disorders team, the Administrative Assistant I will exercise some judgment or decision-making to provide administrative and clerical support to the Scientific Director of the Deep Brain Stimulation (DBS) Program.
Duties
- Providing word processing/typing services for assigned personnel
- Performing reception responsibilities and other administrative tasks as assigned
- Maintaining written and/or electronic calendar/schedules
- Scheduling meetings and events for Director as needed
- Updating the Director's CV
- Modifying and maintaining electronic and paper information filing/retrieval methods, systems and/or formats
- Curing website and social media 'presence'
- Other administrative tasks as assigned (e.g., fellowship)
Qualifications
- Completion of a recognized medical or business post secondary secretarial arts program at the diploma level
- Excellent organizational, time management, and prioritization skills
- Ability to work well under pressure, multitask and use good judgment in assessing complex situations
- Excellent interpersonal and customer service skills
- Strong verbal and written communication skills in multiple languages (preferably English, French but also Spanish and Italian)
- Experience with online calendars including Apple iCloud and Google Calendar and Outlook, recommended
- Previous on-the-job computer/word-processing, database and spreadsheet software experience
- Experience in a Microsoft Office environment
- Experience working in a health care environment, an asset
- Experience with Epic, preferred
