As an integral member of the Donor Experience and Stewardship Impact Team, the Coordinator, Stewardship Events will provide support to the team delivering best-in class stewardship, recognition and cultivation events, as well as curated experiences, for major, transformational and estate giving donors and prospects. These events recognize and engage donors and prospective donors, typically at the $1M+ giving level, and include but are not limited to annual awards, Centre openings, tours, Chair celebrations, space dedications, recognition society-specific events, annual lunches/dinners and virtual/livestream programming. The Coordinator, Stewardship Events will report directly to the Director, Stewardship Events.

We are seeking a detail-oriented and proactive Coordinator, Stewardship Events to support the Manager and Director in delivering exceptional donor experiences and executing high-impact events. This role is ideal for an emerging event professional with a passion for philanthropy and a strong foundation in event logistics and administration.

You Will:

  • Work collaboratively with the Director and Manager, Stewardship Events to provide event support and execution of stewardship, cultivation and recognition events
  • Manage a small portfolio of events, which may include concept development and delivery, coordination of logistical tactics, execution and post-event reconciliation
  • Manage general administrative duties including RSVP tracking, catering orders, venue and vendor research and ordering of supplies
  • Provide onsite support during events, including setup, vendor coordination, guest assistance, troubleshooting, and ensuring smooth execution of all event elements
  • Build meaningful and effective relationships with venues, vendors and provide excellent customer service at all times
  • Work collaboratively with various Foundation Teams to build strong relationships to ensure a successful outcome of all events
  • Work in collaboration with various stakeholders to develop and manage event budgets which includes providing budgetary recommendations and identifying cost saving opportunities
  • Record event activities in the relationship database as required
  • Participate in team discussions and provide input in team process, plan administration and program implementation

Qualifications

  • Relevant education or training in event coordination, fundraising, or a related field, combined with at least two (2) years of practical experience in planning events, fundraising initiatives, or similar activities
  • Flexibility to work early mornings, late evenings and occasional weekends due to the nature of events
  • High proficiency in MS Office (Word, PowerPoint, Excel), project management tools (Asana)
  • Creative and resourceful approach to event coordination, with a proactive mindset and focus on cost-efficiency and meaningful donor engagement
  • Demonstrated ability to manage multiple projects and shifting priorities with strong organizational, communication, and interpersonal skills
