Position Summary
The Administrative Assistant for UHN Transitional Care Program Queens Estate will be responsible for providing administrative, reception, and referral support to the unit and Program Service Manager.
Duties
- Utilizes knowledge of medical terminology and advanced functions to provide word processing/typing services to facilitate the production of moderate and/or complex documents/materials for assigned personnel
- Supports the unit with reception responsibilities i.e. receiving patient/support inquiries; directing individuals to the appropriate personnel; screening phone calls and e-mail messages
- Timekeeper for departmental payroll duties
- Completes administrative tasks that support data reporting requirements and a positive patient experience, meeting quality standards set out by UHN
- Maintains written and/or electronic calendar/schedule
- Supports Management with monitoring billing procedures, departmental budgeting records and ordering of office and medical supplies
- Ensures efficient operation of the office/unit within the scope of authority
- Modifies and maintains electronic and paper information filing/retrieval methods, systems and/or formats
- Support the unit with functional supervision of routine clerical processes
- Performs cross-functional responsibilities as required
- Performs other duties consistent with the job classification, as assigned
Qualifications
- Completion of Secondary School or recognized equivalent
- Completion of a recognized post-secondary office/medical administration program at the certificate level or equivalent
- Two (2) years related administrative support experience
- Familiarity with navigating EPIC for managing referrals / access of PHI an asset
- Previous on-the-job computer/word-processing in a Microsoft Office environment is preferred
- Experience working in a health care environment is an asset
- Fluency in a second language is considered an asset
- Knowledge of medical terminology is an asset
- Excellent organizational and time management skills
- Excellent interpersonal, verbal and written communication skills
- Able to operate effectively in an interdisciplinary team
