Position Summary
Clinical Learner Education (CLE) provides a welcoming and supportive environment for students and educators across all UHN sites. CLE is dedicated to enhancing the quality of the student/learner experience by facilitating a centralized, seamless, and safe introduction into the organization, and serves as a source of support for students/learners while on placement/rotation/courses. The primary role of the Manager is to provide leadership, direction, risk mitigation and operational oversight for CLE while maintaining strong academic affiliate relationships and cultivating a collaborative approach to health care. As an essential leader within the Education team, the Manager sets the strategic direction and determines the priorities and activities for CLE.
This position reports directly to the Senior Director of Clinical Education and indirectly to the Director of Postgraduate Medical Education and the Director Undergraduate Medical Education (Wightman-Berris Academy). The Manager partners with Clinical Education Leaders representing diverse professions, and other key stakeholders to support an exceptional student/learner experience. The Manager provides operational oversight and management for CLE and its team of Education & Observership Coordinators with a focus on optimizing quality, capacity, space, technology platforms, and business development related activities.
Duties
- Ensures flexible, responsive, and accessible service delivery to support and manage daily operations for all UHN university/college affiliated learners (~7000 annually including medical students, resident physicians, clinical fellows, nursing students, health professions students, and educational observers).
- Oversees and updates policies, protocols, procedures and work flows to ensure high quality and effective delivery of Clinical Learner Education
- Manages and mitigates risk for all registration/onboarding activities
- Fosters a positive and inclusive learning environment that values diversity and encourages learner engagement and wellbeing and coordinates prompt follow-up action in response to any concerns
- Provides operational oversight and planning for various Clinical Learner Education spaces at UHN (e.g. Education Centres, Call Rooms)
- Collaborates with key stakeholders to optimize technological solutions associated with Clinical Learner Education
- Utilizes a data driven approach to continuous quality improvement (includes dissemination and analysis of learner and teacher engagement surveys)
- Leads and/or participates in clinical learner and education related committees and working groups (internal and external)
- Manages all aspects of human resources for the Clinical Learner Education team
- Develops, implements, manages and reviews short and long-term strategies and goals for Clinical Learner Education in alignment with UHN’s goals and strategies and Education Portfolio’s Action Plan.
- Manages the unit/department financial resources/budget including:
- Approves invoices, stipends, billing to academic institutions and general expenditures within signing authority limits.
- Approves all Resident Physician on-call and Chief Resident stipends
- Reconciles and validates the Medical Trainee Days Report to the Ministry of Health and Long-Term Care
- Oversees budget and reconciliation for deposits, refunds and reimbursements in relation to clinical learner education (e.g. pagers, badges, scrubs, parking).
- Oversees expenditures in relation to student/learner events.
- Performs corporate management responsibilities that support and advance UHN’s goals.
- Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
- Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contravention’s of the Act, in a timely manner.
Qualifications
- A Bachelor's degree or recognized equivalent is required
- A Masters degree in Education, Leadership or similar field is preferred
- A minimum of 4-6 years practical and related experience/on-the-job training is required
- 5 years experience as a Manager in a healthcare or academic environment is preferred, with demonstrated leadership, human resources management, and financial/budget management skills
- Strong customer service orientation
- Excellent communication, collaboration, facilitation, presentation and negotiation/conflict resolution skills
- Highly organized and conscientious with a keen ability to pay attention to details
- Ability to manage competing priorities and balance multiple, disparate tasks
- Change management and project management skills to plan, organize and coordinate various activities
- Ability to analyze problems, interpret operational needs, and develop integrated, creative solutions
- Knowledge of risk to support decision making and identification of risk points in supporting clinical education
- Excellent computer skills including MS Office (particularly Excel and Access)
- Prior experience with learner databases an asset (HSPnet, POWER, NirvSystem, MedSIS, etc.)
- Demonstrated commitment to continuing education and professional development
- Knowledge/experience of hospital environment, University/College Academic Affiliates and related staff, faculty and procedures an asset.
