Position Summary
The Corporate Legal Administrative Assistant III exercises considerable communication and collaboration skills to provide a range of administrative support and project services to professional personnel. Those best suited to the role will also be able to exercise judgment on how to be adaptable and prioritize, and be both detail-oriented and time-effective. The role will need to be responsive with the team and colleagues in what can often be a fast-paced environment. The role is an important and valued contributor to the success of the group, as we support our clinical colleagues to deliver care to UHN patients and our education, administrative and research services colleagues in their related services.
Duties
- Organizes and maintains contract and data management systems to enable information filing/retrieval, in particular through Sharepoint with meaningful pathways to templates and projects, for access by legal team and for client groups
- Takes responsibility for project management and meeting organization, from agenda development to follow-up with teams on deliverables and related support, on day to day matters, transactions and longer term projects
- Provides document production services, to support independent and team work, including intermediate to advanced MS word and visual presentation technology, data organization skills with Excel, PDF management to create, edit and coordinate digital documents
- Contributes to design and implementation of workflow processes, including intake and approval forms, and associated onboarding of new staff and students
- Provides support and back-up for legal budgeting and invoice payment, update of legal policies, corporate governance and related filings, and claims reporting and related document retrieval and organization
- Other tasks as assigned, including team meeting scheduling, arranging for appropriate technology, and requisitioning equipment supply and maintenance
- Collaborates with team, administrative staff, and other subject matter experts, within and outside of UHN, to accomplish the above
Qualifications
- Completion of a recognized medical or business post-secondary secretarial arts, business administration, or similar program, at the diploma level required.
- 3 to 4 years practical and related experience and/ or 1 year on the job training required.
- Excellent time management and customer service skills required.
- Very good verbal and written communications skills required.
- Ability to work effectively and efficiently under pressure required.
- Ability to use good judgment in assessing difficult situations required.
- Ability to effectively handle confidential matters and materials required.
- Knowledgeable and computer literate in the following software programs: Microsoft Office Suite (Word, Excel, PowerPoint), visual presentation tools (e.g. Presentations, Visio, related) and scheduling applications with 3rd parties (e.g. Doodle Poll or similar), and willingness to learn and use appropriate artificial intelligence tools.
- Experience working in a legal or health care environment an asset.
