Job Summary:

As an integral member of the FM-PRO Department and the Toronto Western Hospital Surgical Tower, the PROJECT MANAGER works as part of a team and leads and coordinates the furniture, fixtures and equipment (FFE) under the direction of the Manager, FM-PRO – Furniture, Fixtures and Equipment.

We are looking for a member to join the team in the planning and development of a New Patient Tower at the Toronto Western Hospital. This brand new 15-floor tower will compose of Surgical Services, ICU, In-Patient Units, Pharmacy, and a Medical Device Reprocessing Department. In collaboration with subject matter and technical experts, you will lead and manage the activities of the FFE project team to ensure the successful participation of project stakeholders and the delivery of the project on-time, on-budget, and within identified scope.

You should be a highly organized individual with background and experience with leading and supporting healthcare capital projects, especially Ministry of Health (MOH) capital projects, where there is planning of multi-divisional, complex, construction projects with numerous dependencies with other projects or initiatives. You will be responsible for managing various project tasks such as equipment planning and procurement; coordination with ICAT teams on technology integration and setup of end user devices; and coordination with operational readiness planning including process flow development for clinical care and facilities support. Knowledge of the Construction Management CCDC-5B project delivery model will be an asset.

Responsibilities:

  • Lead and manage various project tasks in the planning and design of complex large-scale redevelopment projects from project conception to project implementation
  • Coordinate with the FFE team in all project activities
  • Be a liaison between UHN stakeholders and Consultant team for efficient and effective exchange of FFE information
  • Oversee and support all aspects of projects including planning, coordination, tracking, evaluation, schedule and budget management
  • Prepare and maintain project documentation including proposals, project plans, budgets, meeting agendas, documents and decks
  • Monitor and report on progress, risks and issues associated with the project to all stakeholders and escalate as appropriate
  • Provide strategies for risk mitigation and resolution where appropriate
  • Engage and communicate with stakeholders on an ongoing basis and ensure changing resource and project requirements are met and understood
  • Work with FFE team to prepare RFI/RFQ/RFPs for equipment purchases for Surgical Services, In-Patient Units, ICU, Pharmacy, and MDRD in accordance with the Broader Public Sector (BPS) directives
  • Coordinate integration of Architecturally Significant Equipment within construction project in alignment with construction schedule and in coordination with Project Team and construction manager
  • Work with Capital Finance and Procurement to establish and monitor capital FFE budget and procurement processes
  • Coordinate with medical engineering for the selection, configuration and acceptance of the medical equipment
  • Work with the Operational Readiness team on the development of the transition schedule and the different operational readiness activities.
  • Plan and monitor the scheduling of delivery and installation with various parties including the vendors and the construction manager
  • Experience with equipment list development and maintenance is an asset

Qualifications

  • At minimum, completion of a bachelor’s degree in Biomedical engineering, Health Administration, Science, Architecture Engineering, Construction or other planning and management fields or recognized equivalent required
  • Minimum 5+ years related FFE practical experience
  • Project Management Professional (PMP) certification is an asset
  • Experience in working in a healthcare environment, major institutional or public sector is an asset
  • Knowledge in building technical codes and standards applicable to acute health care environments is an asset.
  • Knowledge of Broader Public Sector Procurement Directives and Supply Chain Guidelines is an asset
  • Experience with CCDC-5B Construction Management is an asset
  • Experience with furniture and equipment planning and procurement required
  • Experience with decanting and relocation of personnel, furniture and equipment required
  • Excellent time management and prioritization and organizational skills required
  • Very strong verbal and written communication skills, to both internal and external stakeholders required.
  • Strong experience in coordination of multi-stakeholder meetings, including preparation of presentation materials, meeting minutes and meeting agendas
  • Responsive to urgent demands and short time lines
