Job Description

Department: UHN West Park Assessment Centre - Altum Health

Site: UHN West Park Assessment Centre – Altum Health Sites when required on-site

Reports to: Manager, Assessment Services

Hours: 37.5 hours per week

Status: Permanent Full-time

We are currently looking for an experienced Business Support Administrator to join and support the UHN West Park Assessment Centre – Altum Health. The Business Support Administrator will be responsible for supporting initiatives related to ensuring that our assessors Letters of Understanding (LOU’s) are up-to-date yearly and/or bi-yearly; ensuring onboarding of new assessor’s documentation is complete and submitted appropriately; ensuring assessor availability is up-to-date as well as yearly vacation calendars for staff & assessors. In addition, the Business Support Administrator will be responsible for Quality Assurance and Completion of Directions to Assessor(s), and assisting with the preparation of License Appeal Tribunal requests. The Business Support Administrator works closely with the Manager, Assessment Centre, People & Culture and Business Development as necessary. They are expected to exercise judgment and independence in the performance of their administrative activities.

The principal responsibilities include:

  • Maintaining written and/or electronic vacation calendars for staff and vacation & availability calendars for assessors
  • Working with assessors to update yearly and/or bi-yearly LOU’s
  • Performing clerical business support functions related to the daily operation, as appropriate
  • Ensuring efficient support of key areas, within the scope of authority
  • Updating critical information for circulation to staff (i.e. assessor contact lists; staff fan-out, etc.)
  • Completing staff schedules in VIP and providing support to the Manager, Assessment Centre in this regard
  • Other tasks/duties as assigned that support the operation
  • Quality Assurance and completion of Directions to Assessor(s)
  • Preparation of License Appeal Tribunal requests.
  • Performing cross-functional responsibilities and other duties consistent with the job classification, as required

Qualifications

  • Completion of a recognized post-secondary office administration program at the diploma level or equivalent
  • Three (3) years or more of related experience required
  • Previous on-the-job word processing and spreadsheet experience required; experience working in a Microsoft Office software environment an asset
  • Previous supervisory experience preferred
  • Experience working in a health care environment an asset
  • Excellent organizational and time management skills required
  • Excellent interpersonal and customer service skills required
  • Excellent verbal and written communications skills required
  • Very good knowledge of health care, organizational/office practices, procedures and standards required
  • Ability to produce high quality work in accordance with UHN West Park Assessment Centre – Altum Health standards required
  • Ability to maintain confidentiality required
  • Ability to work well under pressure and use good judgment in assessing difficult situations required
  • Knowledge of medical terminology an asset
  • Excellent proficiency in MSOffice, Adobe Pro and WIN
