Reports to: Senior Manager, Program Strategy & Development
Salary Range: $68,932 - $103,409 Annually
Hours: 37.5 Hours Per Week
Shifts: Days
Status: Temporary Full-time (Approximately 12- month contract)

Position Summary:
Working under the direction of the Senior Manager, Program Strategy and Development and Senior Manager of RMP Operations, the Program Coordinator will support the Radiation Medicine Program’s change management and implementation of strategic communications activities for a large-scale technological implementation, in collaboration with UHN Digital Project Management Office. Additionally, this position will provide project and committee coordination support across a variety of planning and implementation activities.

Duties:

  • Coordinate, implement, and support change management activities related to a large-scale technological implementation in collaboration with the vendor, UHN Digital, and RMP internal stakeholders.
  • Lead, plan, implement, and evaluate, and otherwise manage the project’s key internal communication activities including emails, FAQs, newsletter updates, slide decks, townhalls, etc.
  • Coordinate the Change Management committee including: preparing relevant agendas, preparing presentation materials, documenting meeting minutes, and following up on action items.
  • Monitor, document, and report on progress of change management plan. Identify delays or changes for review.
  • Prepares reports and other key documents required to meet program objectives, i.e. stakeholder map, program status reports, timelines, etc.
  • Collaborate with various stakeholders, including the vendor, UHN Digital, internal RMP stakeholders to plan the content of communications products, documents, or publications.
  • Support preparation of project materials for leadership and committee updates, and vendor engagements
  • Coordinate scheduling, logistics and administration for project committees and working groups
  • Support tracking of actions, risks, issues, and decisions, working group outputs and dependencies and escalation pathways when timelines or deliverables are at risk
  • Support communication flow between internal teams and vendor project managers, ensuring clarity of dates, materials, and expectations
  • Facilitate and coordinate workshops or engagement activities for diverse stakeholder group
  • Support and coordinate user training activities
  • Support and coordination on Project Go-Live preparations and pre-/post- Go Live activities.
  • Other duties/projects as assigned.

Qualifications

  • Bachelor's Degree in Health Sciences, Business, or related discipline.
  • Minimum of 3 years experience working in program coordination, project coordination, with direct experience in change management
  • Minimum 2 years of internal communications experience preferred
  • Demonstrated proficiency with change management methodologies and tools (PROSCI, etc.)
  • Experience executing a variety of communications activities, including development of content (i.e. newsletters, slide decks, etc.), liaising with stakeholders, and supporting overall communications planning
  • Demonstrated high attention to detail, time management, and organizational skills
  • Able to work with minimal supervision on complex tasks
  • Able to work with multidisciplinary teams in a positive and productive manner
  • Excellent writing skills, with experience tailoring content to your audience
  • Ability to use a solution-oriented, team approach in solving problems.
  • Advanced skills using Microsoft Office Suite, including Outlook, Teams, PowerPoint, SharePoint, and Excel.
