Position Summary

The Communications Coordinator, Events supports the planning, coordination, and delivery of UHN’s internal events and brand experiences that bring the organization’s values to life and strengthen a united TeamUHN. Working closely with the Manager, Events and Engagement, this role plays a key part in executing engaging, high‑quality events, both in‑person and virtual, that foster connection, pride, and a culture of excellence across the organization.

The Coordinator provides hands‑on logistical and operational support across the full event lifecycle, including scheduling, vendor coordination, communications, asset management, and on‑site or virtual event support. With strong attention to detail and a collaborative mindset, the role helps ensure that every event is delivered smoothly, consistently, and in alignment with UHN’s brand standards. This position is well‑suited for a proactive, highly organized, detail-oriented, creative and resourceful individual who is eager to grow their experience in events, engagement, and brand activation. By supporting enterprise‑wide events and initiatives, the Coordinator contributes to creating meaningful experiences where TeamUHN stakeholders feel valued, connected, and inspired — while helping build the foundation of an events centre of excellence at UHN.

Duties

  • Support end-to-end event planning and execution, including logistics, timelines, run-of-show documents, and post-event wrap-up
  • Coordinate in-person, virtual, and hybrid event logistics including venue setup, registration, AV, accessibility, and attendee flow
  • Provide on-site and virtual support, including performing light physical tasks for setup, troubleshooting, and teardown, to ensure events run smoothly and on schedule
  • Collaborate with internal stakeholders and external vendors to align on requirements, timelines, and deliverables
  • Manage vendor-related processes, including onboarding, contracts, purchase requests, and invoicing
  • Act as a primary point of contact during events, resolving issues and ensuring a seamless attendee experience
  • Support brand activations and ensure consistent application of brand standards across all event materials and environments
  • Assist with event communications, including invitations, registration tracking, attendee management, and speaker support materials
  • Maintain event documentation, budgets, and reporting, including post-event evaluations, feedback collection, and continuous improvement initiatives

Qualifications

  • Post-secondary education in communications, public relations, event management, marketing, hospitality, or a related field.
  • 1–3 years of experience supporting events, engagement initiatives, or brand activations, preferably in a healthcare, academic, public‑sector, or large organizational setting
  • Strong administrative skills with advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, and Forms) considered a strong asset.
  • Strong organizational skills, with the ability to manage multiple events and tasks simultaneously.
  • High attention to detail to ensure accuracy across schedules, communications, materials, and on‑site execution.
  • Ability to be resourceful, remain calm, flexible, and solution oriented in fast paced or live event environments.
  • Comfortable performing hands-on tasks such as setting up spaces, managing materials, and supporting speakers or attendees.
  • Strong teamwork skills and the ability to follow direction while proactively identifying needs or issues.
