Position Summary
The Program Coordinator is an integral member of the UHN Quality & Safety portfolio, providing comprehensive administrative, financial, and project support to ensure the effective operation of programs and initiatives. The role is responsible for coordinating complex internal, executive, and board-level meetings, reviews, and educational events; preparing detailed documentation, reports, and materials; and managing calendars and follow-up actions for senior leaders. The Coordinator supports accreditation, educational and other strategic projects through project planning, implementation support, risk tracking, and issue escalation as required. This position also plays a key role in gathering, collating, and preparing program reports for internal leadership and external stakeholders.
Duties
- Plan, coordinate, and support portfolio meetings, reviews, and large interprofessional events, including complex scheduling, logistics, materials preparation, and follow‑up.
- Prepare, document, and disseminate meeting agendas, minutes (including executive-level content), reports, and action-item tracking.
- Manage calendars while balancing multiple competing priorities across programs and projects.
- Develop detailed project plans and provide end‑to‑end administrative, logistics and implementation support for assigned portfolio initiatives.
- Monitor project progress, identify risks or barriers, propose mitigation strategies, and escalate issues as required.
- Process accounts payable/receivable, manage billing activities, and respond to financial correspondence on behalf of the portfolio.
Qualifications
- Completion of a Bachelor’s Degree in an appropriate healthcare or business discipline, or recognized equivalent
- At least 5 years related office administration experience
- Project Management experience
- Considerable experience with Microsoft Office Suite
- Ability to produce high quality work in accordance with Hospital standards
- Ability to effectively handle confidential matters and materials
- Excellent organization, time management, interpersonal, and customer service skills
- Experience in a healthcare environment considered an asset
