Job Description

Reporting to the Head, Centre for Community Health Education, the Administrative Assistant provides comprehensive administrative and coordination support for the development and delivery of community health programs. The role is crucial in facilitating smooth operations, managing program logistics, and providing support to faculty, students, and community partners. The Administrative Assistant works in a constantly changing environment where priorities change daily and at times multiple times throughout the day.

Key Responsibilities (including approximate percentage of time):

  • Liaises with registrants and community contacts to assist in arranging community site visits
  • Performs data entry and oversight in Excel spreadsheets
  • Manages a communal email inbox
  • Duties as assigned to support future programming in the Centre for Community Health Education.
  • Provides confidential support to the Centre for Community Health Education team
  • Liaises with internal departments, answers and triages student questions, manages department files, and scheduling meetings
  • Processes expense claim forms, maintains and records invoices
  • Other duties as assigned

Qualifications

Education & Experience:

  • Minimum of 3 to 5 years of relevant administrative and/or coordination experience, preferably in an educational or program-focused environment.

Knowledge, Skills, & Abilities:

  • Judgment, critical thinking, and analytical skills.
  • Organizational skills and exceptional attention to detail.
  • Adaptability and resourcefulness to navigate changing priorities and new program development.
  • Strong networking ability and excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications including Excel, Word, and Outlook, and ideally experience with database management or tracking systems.
  • Ability to independently assess the urgency and sensitivity of inquiries and escalate as necessary.

Other Requirements:

  • Ability to prioritize workload with competing demands from multiple programs, faculty, and students.
  • Required to sit for long periods (up to 6-7 hours daily) while working at a computer.
  • Accuracy and quality checks are major considerations for data entry, communication, and document preparation.
