About us:

The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $40.4 million in research funding per year, the School supports discovery in global health, tobacco impacts on health, occupational disease and disability, air pollution, inner city and Indigenous health, among many other areas.

Your opportunity:

The Division of Epidemiology at DLSPH has a long tradition of focus on the epidemiology of infectious, chronic, and mental disorders, and an emphasis on genetic, behavioural, social and environmental factors affecting human health. We use both quantitative and qualitative research methods to answer important questions affecting the public health. We offer two degree programs: the Master of Public Health (MPH) and the Doctor of Philosophy (PhD). Our graduates of both programs work as epidemiologists in a variety of settings, including academic institutions and research institutes, public health agencies at all levels of government, private industry, and international organizations.

The Administrative Assistant serves as a first point of contact for general enquiries and provides administrative support across meetings, projects, and programs. This role is responsible for organizing schedules, preparing agendas and materials, and ensuring timely follow-up on action items. It also supports activities for events and programming, including booking rooms and arranging catering, data collation, document preparation, project coordination and the maintenance of accurate records for reports and admissions processes. In addition, the position edits content for brochures, newsletters, websites and/or handbooks and maintains information on digital platforms


Your responsibilities will include:

  • Acting as a first point of contact for general enquiries and coordinating meeting schedules, agendas, materials, action, and follow-up items
  • Coordinating tasks for projects and other strategic initiatives with stakeholders, including tracking project progress, milestones, and timelines.
  • Writing routine documents and correspondence including editing content for brochures, newsletters, and other materials; verifying the accuracy and completeness of documents
  • Collating and organizing data for various reports
  • Providing administrative support to admissions committees such as checking for documentation completeness and maintaining application/admissions documentation
  • Responding to enquiries and resolving issues within the defined scope of the role and redirecting as appropriate
  • Determining logistical details and activities for events and/or programming, including booking rooms and arranging accommodations

Essential Qualifications:

  • Advanced College Diploma(3 years) or acceptable combination of equivalent experience.
  • Minimum three years of related experience providing administrative support to University Faculty and staff
  • Demonstrated experience with determining logistics, coordinating schedules/agendas, and taking meeting minutes.
  • Demonstrated experience with providing administrative supportive to admissions teams and committees
  • Experience writing reports and preparing presentations.
  • Experience coordinating events and/or programming
  • Proficiency with MS Office, Adobe Suite, and Survey software
  • Strong organizational skills to support multiple stakeholders.
  • Excellent oral and written communication skills.
  • Ability to work independently with a high degree of initiative, discretion, and tact; ability and willingness to work cooperatively in a challenging and dynamic environment
  • Ability to problem solve and deal effectively with multiple priorities with conflicting deadlines while maintaining a high degree of quality and accuracy
  • Ability to maintain the strictest of confidence in dealing with sensitive materials; adherence to relevant policies and procedures.
