Your opportunity:
Under general direction of the Assistant Dean and Registrar, the Academic Services Coordinator will provide program and student services support for the academic programs in the Lawrence Bloomberg Faculty of Nursing. Responsibilities include coordinating room bookings and resolving time tabling/room booking conflicts, collating licensure documentation, updating and maintaining course information on database systems as well as preparing and distributing curriculum cycle timetables and tracking, and monitoring curriculum-related issues raised by contacts. The role is also responsible for coordinating schedules/meetings and taking and distributing meeting minutes and preparing student letters. The Academic Services Coordinator will provide proactive, exceptional customer services to a diverse student and faculty population as a key member of the registrarial and student services team.
Your responsibilities will include:
- Administering room scheduling processes by collecting requirements, booking spaces, and addressing booking and timetabling conflicts.
- Collating licensure documentation by collecting, verifying, and organizing academic and clinical records and supporting submission processes; preparing draft correspondence to students using templates.
- Coordinating academic and program schedules with stakeholders
- Coordinating meeting schedules, agendas, materials, action and taking and distributing meeting minutes
- Preparing and distributing curriculum cycle timetables and tracking, and monitoring curriculum-related issues raised by contacts
- Organizing, summarizing and circulating program and/or course evaluations
- Maintaining course information on student information systems
- Applying established file retention standards in data administration activities
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum two (2) years recent experience providing student services and/or administrative support, preferably in a University or post secondary environment.
- Experience coordinating program logistics, including timetabling, maintaining calendars and coordinating rooms bookings.
- Experience working with and collaborating with faculty.
- Experience providing administrative support to programs, including preparing and distributing curriculum cycle timetables, monitoring curriculum-related issues, and summarizing program and/or course evaluations.
- Experience coordinating schedules for academic calendars, and supporting committees including preparing agendas, taking meeting minutes.
- Experience drafting and preparing correspondence, updating and maintaining records with a strong attention to detail ensuring accuracy.
- Strong customer service orientation with the ability to apply those skills in creating a positive student centric environment.
- Ability to work in a fast-paced environment, including ability to multitask and prioritize.
- Ability to take initiative and work proactively.
- Strong interpersonal, written, and verbal communication skills, with the ability to relate to all levels of faculty, staff and students.
- Strong organization, time management, and problem solving skills.
- Strong computer skills including in Microsoft Office (Word, Excel, PowerPoint and Outlook) and virtual meeting platforms (Teams, Zoom).
