The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, and far more.

Reporting to the Undergraduate Program Director and Family Medicine Longitudinal Experience (FMLE) Course Director, the FMLE Coordinator provides administrative support to the FMLE course as part of the broader Undergraduate program. You will be entrusted with a wide variety of key administrative tasks that require a great deal of tact, attention to detail and adaptability within an unpredictable, fast paced environment. You will also work collaboratively with students, and community preceptors in order to coordinate a mandated placement in a community practice as part of their core family medicine training. You will be well organized, exercise good judgement in a variety of situations and foster positive relationships with various stakeholders in order to ensure consistent and efficient operations.



Your responsibilities will include:

  • Providing detailed information to students on program and/or course requirements
  • Coordinating the recruitment process of community preceptors
  • Fostering and maintaining positive relations with stakeholders to support student placement activities
  • Coordinating the preparation and distribution of program and/or course material including collecting and tracking student assignment submissions
  • Providing detailed explanations to instructors on how to administer course evaluations
  • Conducting work term site visits and reviewing potential placement opportunities to determine suitability with learning objectives
  • Maintaining databases, tabulating data and analyzing statistical information to evaluate the performance of programs and/or partnerships
  • Coordinating tasks for projects and other strategic initiatives with stakeholders

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent education and experience
  • Minimum three (3) years of experience providing administrative and/or course supportto an education program, preferably in a university, teaching hospital, or similarly complex environment
  • Demonstrated experience serving as the first point of contact, including responding to student or general enquiries and redirecting as appropriate
  • Experience providing detailed information to students on program and/or course requirements and supporting the preparation and distribution of program and/or course materials
  • Experience providing scheduling support, including coordinating meetings, maintaining calendars, and supporting site visits
  • Experience maintaining databases and records, generating reports, and analyzing information to support program activities and evaluation
  • Experience drafting communications and editing content for websites, newsletters, brochures, and/or handbooks
  • Experience coordinating meetings and committees, including preparing agendas and materials, recording minutes, and tracking action and follow-up items
  • Experience coordinating the logistical details and activities for events and/or programming, including booking rooms and arranging accommodations
  • Strong proficiency with MS Office Suite and medical education, learner information, and scheduling platforms
  • Strong communication and interpersonal skills, with ability to liaise effectively with stakeholders at all levels
  • Excellent organizational and time-management skills, with ability to manage multiple priorities and meet deadlines reliably
  • Sound judgment and problem-solving skills, with ability to handle confidential information and support process improvements


Assets (Nonessential):

  • Knowledge of the University and particularly the Faculty of Medicine’s student procedures
  • Knowledge of the University of Toronto’s academic appointment policies and procedures
  • Working knowledge of MedSIS, Elentra, and PLANK systems
