The Office of the Registrar at U of T Mississauga delivers registrarial services to support U of T Mississauga's academic goals and U of T priorities in the areas of student information, interpretation of policies, and innovation of registrarial interactions. Reporting to the Associate Registrar, Student Records, Registration and Graduation and working closely with the Coordinator, Student Records, Registration and Transfer Credit, the Specialist monitors, assesses, updates and reconciles information for all aspects pertaining to students’ academic record, including academic status; course and program registration; degree and subject program of study (POSts), petitions and transfer credit; assesses and determines students’ eligibility to graduate; evaluates on-admission and student exchange applications for domestic and foreign transfer credits and processes request for Letters of Permission (LOPs), updating and maintaining relevant systems and applications (e.g. Transfer Navigator, ROSI , Degree Explorer, eMarks).
The Student Records and Registration Specialist responds to prospective, current and former students by letter, e-mail and telephone and liaises with departments, divisional staff and other university offices to provide accurate and relevant assessments and information. The Specialist identifies problem areas and/or inconsistencies in existing policies and practices; and corresponds with departments, faculty and students regarding assessments, procedures and policies and considers transfer credit appeals.
The Specialistprovides support to the Assistant Registrar, Academic Standards and Petitions, reviewing routine petitions. Develops a comprehensive understanding and keeps current on University and Faculty policies, procedures and practices as they relate to academic, degree and transfer credit regulations.
Your responsibilities will include:
- Coordinating admission processes with departmental/divisional contacts
- Tracking and monitoring student course enrollments
- Verifying the accuracy of course enrollment information
- Keeping well-informed on policies, procedures and key regulatory deadlines
- Reviewing and assessing student records to determine academic standing and informing students of changes
- Tracking departmental transfer assessment decisions
- Reviewing and assessing student requests to attend other Universities on Letters of Permission
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum three years of experience working with students' records and registrations
- Experience maintaining and assessing students' records
- Demonstrated experience verifying the accuracy of cumulative grade point averages
- Experience verifying the accuracy of course enrollment information
- Solid experience verifying that information is kept according to file retention procedures
- Demonstrated experience creating reports and updating students records
- Experience tracking and monitoring student course enrollments and degree and course change requests
- Excellent ability to respond to enquiries within the defined scope of the role
- Proficiency in MS Office, Degree Explorer and Student Information Systems (eg. ROSI)
- Excellent communication and customer relations skills
