The Edward S. Rogers Sr. Department of Electrical & Computer Engineering is Canada’s top-ranked ECE department, and one of the largest. Your opportunity:
The Centre of Excellence for Networking Innovation in Toronto (CENIT) was established in 2023 with support from the Canada Excellence Research Chair in Intelligent Digital Infrastructures (CERC-IDI) at the University of Toronto. CENIT focuses on reimagining how the Internet could operate using more processing power, storage capacity, and machine intelligence inside networks; and developing just and equitable intelligent digital infrastructures that can serve all segments of society. CENIT is based at the University of Toronto St. George Campus and CENIT researchers collaborate with several researchers around the world.
Working under the direction of the CENIT Principal Investigator, the CENIT Administrative Assistant is responsible for the efficient daily operation of the centre, and accomplishes this by providing support to the CENIT research staff, students and collaborators.
Your responsibilities will include:
- Reviewing and assessing requirements needed to meet project timelines
- Coordinating meeting schedules, agendas, materials, action and follow-up items
- Handling sensitive and/or confidential information
- Maintaining senior staff calendars
- Scheduling travel plans and requesting appropriate accommodations
- Drafting presentation materials
- Building and strengthening relationships with stakeholders and partners of strategic importance
- Conceptualizing, organizing and executing event activities
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum five years recent and related administrative experience in an autonomous, decision making position, preferably in a University environment.
- Experience supporting faculty research, research centres and groups.
- Experience drafting correspondence, preparing briefing packages, applying and working with policies and procedures and organizing and coordinating special events.
- Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex, confidential and sensitive nature.
- Experience with organizing complex meeting schedules.
- Understanding of the University’s mission and intersection with the broader community.
- Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets and graphics, and prepare sophisticated PowerPoint presentations), and scheduling software.
- Demonstrated familiarity with Zoom, Microsoft SharePoint and Teams.
- Demonstrated analytical and problem-solving skills.
- Demonstrated superior writing and editing skills.
- Superior communications skills, both written and verbal (e.g., drafting written correspondence, minutes, proposals).
- Excellent organizational and time-management skills. Ability to set priorities, manage multiple tasks and projects and meet deadlines.
- Proven track record of using good judgment in dealing with issues in a fast-paced, dynamic environment. Excellent interpersonal skills.
- Ability to work collaboratively and positively in a team setting, working effectively with a wide range of people and personalities (members of the University and corporate communities, students, etc.).
- Thoroughness and careful attention to detail. Tact, discretion, sensitivity to confidential matters.
