At Rotman Executive Programs, Canada’s leading executive education provider for open-enrolment programs, we enable leaders to develop the capacity to transform themselves, their organizations and their communities by offering specialized business education programs for individual and organizations which address today’s business challenges and opportunities.

Our programs for individuals cover all areas of executive training, including leadership, management, strategic human resources, governance and finance, for public, private and nonprofit sectors. We also work directly with organizations and their executives around the globe to address their unique challenges and opportunities by designing customized programs focusing on helping organizations and their leaders achieve better business results.

Reporting to the Associate Director, Program Delivery, the Executive Programs Administrative Support provides administrative support to EP’s central services and resources team and to other areas of Executive Programs, including Marketing Communications, EP Finance and the various portfolios of programs.

As a member of the Executive Program’s team, the Executive Programs Administrative Support must practice professionalism and sound judgment in all interactions while maintaininghigh service standards as defined by Executive Programs. The individual will abide by EPs and Rotman’s set of values in how the position interacts with clients, faculty and staff. A strong customer service orientation, highly developed organizational skills and the ability to multi-task, using sound judgment in prioritizing conflicting demands are also essential.

The Executive Programs Administrative Support must display tact and diplomacy in dealing with clients, participants, special guests, visitors, faculty, staff, and suppliers.

Your responsibilities will include:
  • Acting as the first point of contact for general enquiries
  • Resolving issues that may occur during events and escalating problems as required
  • Booking rooms and arranging appropriate accommodations
  • Analyzing needs and recommending appropriate technologies for teaching/learning goals
  • Providing detailed information and demonstrating the use of technology
  • Determining logistical details and activities for instructor development and training sessions
  • Analyzing client needs and making recommendations on event logistics and option
  • Manage centralized program tasks and inventory suchas creating program portals and ordering office supplies
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of relatedadministrative experience required, preferably in an academic environment
  • Excellent project coordination and event management skills
  • Must have strong computer skills and experience working with MS Word and Excel, LMS, video conferencing tools and e-mail software applications
  • Ability to cope with pressures and deadlines and adapt to evolving processes and procedures
  • Strong communication skills, both verbal and written
  • Public Speaking and great interpersonal skills
  • Ability to learn and utilize different computer applications and technologies efficiently and effectively in all aspects of the job requirements
  • Ability to assume responsibility and work on own initiative, and also collaborate with other
  • This position will be required to work a variety of hours and shifts. Early morning, evening and/or weekend shifts might be required
