About the Role
We are seeking a highly trusted and discreet Executive Personal Assistant to support a busy CEO across both personal and business matters. This is a hands-on, dynamic role for a professional who can act as a true right hand — anticipating needs, managing multiple priorities, and ensuring that every detail is handled with precision and discretion.
The ideal candidate is resourceful, confident, and thrives in fast-paced environments where priorities evolve quickly. You will play a key role in simplifying daily operations, coordinating schedules, and managing the flow of both personal and professional commitments.
Key Responsibilities
- Manage and coordinate personal and professional calendars, appointments, and meetings.
- Serve as the primary point of contact for both personal and executive matters.
- Coordinate travel arrangements, reservations, and event logistics.
- Handle personal errands, vendor coordination, and household administration.
- Support light business-related activities — such as expense management, correspondence, and document preparation.
- Provide flexible support across personal and executive priorities, ensuring continuity and balance between professional and personal commitments.
- Liaise with team members, partners, and service providers with a high degree of professionalism and confidentiality.
- Anticipate needs and proactively identify solutions to streamline daily operations.
Qualifications
- Minimum of 5 years of experience supporting a senior executive or entrepreneur in a similar personal/executive capacity.
- Proven ability to manage sensitive information with discretion and sound judgment.
- Exceptional organizational and time management skills with a strong sense of accountability.
- Technologically fluent — comfortable using digital tools (Google Workspace, scheduling apps, communication platforms, task management systems, etc.).
- Excellent written and verbal communication skills.
- Flexible and adaptable to shifting priorities.
- Valid driver’s license and ability to manage in-person tasks in Vancouver.
Work Environment & Flexibility
- This role offers flexibility in scheduling and may occasionally require evening or weekend availability depending on travel or event needs.
- While primarily based in Vancouver, some remote coordination or off-site support may be required.
