The Opportunity

This role supports the Operations Manager by owning assigned operational, product, inventory, purchasing and supplier coordination and driving follow-up through closure.

Role Expectation: Operates with ownership, judgment and limited day-to-day supervision.

Key Areas of Responsibility

Operational Control

  • Own assigned workflows across Product Orders, shipping, warranty/RMA, projects and supplier actions through closure.
  • Maintain accurate Monday.com, Jotform, TQS/QuickBooks records, trackers and controlled files.
  • Validate information before handoff and resolve discrepancies with the responsible teams.
  • Prepare concise reconciliations and status summaries for the Operations Manager.

Product & Supplier Coordination

  • Maintain product master data, specifications, technical files and certification records.
  • Coordinate suppliers on availability, pricing, lead times, samples, product changes and corrective actions.
  • Prepare product comparisons, technical summaries and basic compatibility reviews.
  • Track cUL/UL/ETL/DLC actions, supplier commitments and key technical risks.

Inventory & Financial Readiness

  • Monitor stock, forecasts, reservations and inventory movements; reconcile discrepancies with Warehouse and Finance.
  • Prepare purchasing plans based on forecast, inventory, reservations and inbound supply.
  • Ensure PO, invoice, credit, deposit, return and supporting evidence are complete before handoff.
  • Flag issues that may affect shipment, invoicing, margin or customer commitments.

Execution & Cross-Functional Coordination

  • Coordinate actions across Project Management, Sales, Finance, Warehouse/Logistics, suppliers and installers.
  • Communicate status, risks and required actions clearly, with recommended solutions.

Qualifications (Education & Experience)

  • Post-secondary education in Business Administration, Operations,or a related field.
  • Experience with inventory control, forecasting, purchasing planning and Supply Chain, Electrical/Electronic Technology, Engineering Technology
  • Strong organization and ability to manage multiple priorities and supplier follow-up.
  • Minimum 2 years of experience in operations coordination, product support, inventory/purchasing or product development.
  • Analytical problem-solving and attention to detail.
  • Experience in lighting, electrical, electronics or a related technical industry
  • Strong written and verbal communication.
  • Professional judgment, confidentiality and a proactive, solution-oriented
  • Working knowledge of product specifications, part numbers, technical approach. documentation and certifications.
  • Strong Microsoft Excel and Office 365 skills; ERP, inventory or workflow-system experience preferred.
